This listing is for students to make payments for KSAP field trips.
Detailed Description
For some trips, an initial (non-refundable) deposit will be payable, with the balance due later. For some trips, it may be necessary to take payment of the full amount up front. Students will be advised separately how much is payable for the specific trip being undertaken, and the deadline for making their payment(s).
All students participating in field trips involving an overnight stay are required to register for the University of Kent’s travel insurance. The online form to do this can be found here.
For any trip outside of the UK, students should complete the relevant Overseas Travel Health Assessment. The forms can be found here. A copy of the health assessment should be sent to the member of staff organising the trip or forwarded to the medical centre for review (as applicable – instructions are on the form).
All field trips will be risk assessed in advance by the member of staff responsible for organising the trip.

The personal data you provide when registering for and making purchases on the University of Kent Online Store will only be used for the purposes of fulfilling your order. The lawful basis for processing your information for this purpose is ‘performance of a contract’ (under Article 6(1)(b) of UK GDPR). This data will be held on a database by WPM Education (www.wpmeducation.com) on behalf of the University of Kent and will not be disclosed to any third parties unless required to do so by law.
The personal data you provide when making payments for field trips (your name, email address, order reference number and answers to the listed questions) will be held on the University of Kent’s servers and/or departmental emails and shared drives, for the purposes of financial record-keeping. Access will be limited to finance teams. It will be retained in line with statutory requirements for financial records, i.e. 6 years.
Field trips will require us to share personal data with third party travel suppliers for the purposes of administering the trip. We will ensure that only the minimum amount of relevant personal data necessary for the purpose is shared, and we will ensure that contractual agreements exist to ensure compliance with data protection regulations.
When it is necessary for us to transfer your personal information across national boundaries to a third party data processor, such as one of our service providers, we will ensure this safeguards your personal information by requiring such transfers are made in compliance with all relevant data protection laws.
We will ensure that security measures are in place to prevent the accidental loss, unauthorised use or access to your data. Access is given to staff on a ‘need to know’ basis. Our staff are required to keep your data safe and complete data protection training.
We have procedures in place to deal with any data security incidents and will notify you and the ICO in the event of a data breach where we are required to do so.
